Where to host your wedding is one of the first big decisions you'll make. And if you haven't hired a wedding planner to help guide you before choosing your venue, the process can feel a little overwhelming. That's especially true when you're touring a venue you love and feeling the pressure to book before someone else takes your desired wedding date.

Before signing anything or paying a retainer, use this wedding venue checklist to make sure you know exactly what you're booking, what's included, and what additional details could affect your plans or your budget.

Wedding Date, Capacity, and Event Spaces

Before falling in love with the view, the architecture, or that gorgeous ceremony space, make sure the venue can actually accommodate the wedding you're planning.

1. Is the venue available on your wedding date?

Ideally, you'll already have a preferred date in mind. If you're flexible, knowing your preferred season and month can help the venue show you which dates are still available.

2. What is the venue's maximum guest capacity?

Be sure to ask about seated capacity for the type of wedding you're planning, not simply the maximum number of people permitted on the property.

3. Are both indoor and outdoor spaces available?

4. Are there separate spaces for the ceremony, cocktail hour, and reception?

5. If any part of the wedding is outdoors, what is the backup plan for inclement weather?

6. Is there an additional fee to use the backup space, and when must the decision to move indoors be made?

Venue Rules and Requirements

Every venue has its own rules, and some can have a significant impact on how you plan your wedding. It's much better to discover those restrictions before signing the contract than six months later.

7. What venue rules or restrictions should we know about?

Ask specifically about alcohol, smoking, candles or open flames, décor, amplified music, noise ordinances, and anything else that may affect your plans.

8. Are we required to purchase single-day event insurance?

9. Are we required to use vendors from the venue's preferred vendor list, or may we hire our own?

10. Is the venue closed to the public during our ceremony and reception?

11. Will another wedding or event take place on the property on the same day?

12. Is the venue accessible for guests with mobility limitations?

Historic buildings and outdoor venues can sometimes present accessibility challenges, so this is especially important if you know you'll have guests who use wheelchairs, walkers, or have difficulty navigating stairs or uneven terrain.

What's Included in the Venue Rental?

A venue with a higher rental price can sometimes be the better value once you compare what's actually included.

13. What is included in the venue rental price?

Ask whether the venue provides tables, chairs, linens, napkins, chargers, glassware, flatware, or other rental items. If tables and chairs are included, ask what sizes and quantities are available.

14. Who is responsible for setting up and breaking down venue-provided tables and chairs?

15. Are there additional required fees that aren't included in the advertised rental price?

Ask about cleaning fees, security, staffing, service charges, parking, or other mandatory costs.

16. Are there food or beverage minimums?

This can be especially important at wineries, hotels, restaurants, and other venues that provide their own food or beverage service.

Getting Ready, Rehearsal, and Wedding-Day Access

Your rental isn't just about where the ceremony and reception happen. You'll also want to understand when you can get onto the property and what spaces you'll have available throughout the day.

17. Are getting-ready suites available for the wedding party?

Ask when you'll have access to them and whether they're included in the venue rental.

18. Can we hold our wedding ceremony rehearsal at the venue?

19. Is rehearsal time included, or is there an additional fee?

20. What time will we and our vendors have access to the venue on the wedding day?

This is especially important if you're providing your own décor or hiring vendors who need significant setup time.

21. What time must the wedding end, and when must all décor and vendor equipment be removed from the property?

Catering, Desserts, and Bar Service

Food and beverage policies vary considerably between venues, so don't assume you'll be able to bring in whichever caterer, cake, or alcohol you choose.

22. Is there a kitchen or food-preparation area available for the caterer?

23. Is refrigeration available for the wedding cake, desserts, or other items that need to remain cold?

24. Are outside caterers permitted, and are there any requirements they must meet?

If you're considering food prepared by friends or family rather than a licensed caterer, specifically ask whether the venue permits it.

25. What are the venue's alcohol and bar-service policies?

Ask whether alcohol must be purchased through the venue, whether outside alcohol is permitted, who is allowed to serve it, and whether there are minimum purchases or other bar requirements.

Before You Sign the Wedding Venue Contract

You've toured the property, asked your questions, and you're ready to book. There are still two things worth confirming before that retainer leaves your bank account.

26. Who will be our venue contact leading up to and on the wedding day?

If the venue provides an onsite venue coordinator or manager, ask what that person's role includes and whether the same person will remain onsite throughout your event.

27. How long do we have to review the contract before our date is released to another couple?

Don't allow the excitement of finding a venue you love to rush you into signing something you haven't read carefully. Make sure everything you've been promised is reflected in the contract, including your rental times, included spaces and amenities, fees, policies, and cancellation or rescheduling terms.
